KaiCore ("we", "us", "our") provides AI-powered B2B sales outreach services. This policy explains how we collect, use, and protect information in connection with our services.

2. Information We Collect

Client information: When you sign up, we collect your name, email address, company name, billing information, and sending domain details.

Lead data: On behalf of our clients, we collect publicly available business contact information including names, email addresses, job titles, company names, and company websites. This data is sourced from public websites and third-party data providers (Hunter.io).

Email interaction data: We track email delivery status, opens, clicks, replies, bounces, and unsubscribe requests to optimize campaign performance and ensure compliance.

3. How We Use Information

• To provide and improve our outreach services
• To score and qualify leads using AI analysis
• To personalize email content for each recipient
• To monitor deliverability and campaign performance
• To enforce CAN-SPAM compliance (unsubscribe processing, physical address inclusion)
• To communicate with clients about their account

4. Legal Basis

We process lead data under the legitimate interest basis for B2B commercial communications, as permitted under CAN-SPAM (15 U.S.C. § 7701). All emails include a physical mailing address and a working unsubscribe mechanism.

5. Data Sharing

We do not sell personal data. We share data only with:

• Email providers (AWS SES, Mailgun) — to deliver emails
• Data enrichment (Hunter.io) — to find business contact information
• AI processing (Anthropic Claude) — to score leads and personalize content (no data is retained by the AI provider)
• CRM systems (HubSpot) — when configured by the client

6. Data Retention

Lead data is retained for the duration of the client relationship plus 90 days. Unsubscribe records are retained indefinitely to ensure ongoing compliance. Clients may request data deletion at any time.

7. Your Rights

Email recipients: You can unsubscribe from our emails at any time using the unsubscribe link included in every message. Once unsubscribed, your email address is permanently added to our suppression list.

Clients: You can request access to, correction of, or deletion of your account data by contacting us.

8. Geographic Scope

Our services currently operate within the United States only, under CAN-SPAM regulations. We do not target individuals in the European Union (GDPR), Canada (CASL), or other jurisdictions with opt-in requirements.

9. Security

We protect data using encryption in transit (TLS), secure API key management, database access controls, and regular security reviews. API keys and secrets are stored as environment variables, never in source code.

10. Changes to This Policy

We may update this policy from time to time. Material changes will be communicated to clients via email.
